Subject: Policies for Preserving Geospatial Records (Formerly Geography and National Mapping)

If you deal with geospatial records, the National Archives and Records Administration (NARA) has approved new U.S. Geological Survey (USGS) records schedules for managing and preserving geospatial records that you will need to follow, regardless of where you are in the USGS organizational structure.

To help you comply with these schedules on geospatial information, we have consolidated them into one document, entitled the “GIO and Geography Mission-Specific Records Disposition Schedules,” which can be accessed via https://www.usgs.gov/survey-manual/sm-4321-files-management .

Implementing the Schedules

For help implementing the schedules, please

• visit the schedule website at https://www.usgs.gov/survey-manual/records-disposition-schedules;

• watch for briefings and training sessions, which will be offered in various USGS locations and through methods such as WebEx; and

• see the Records Management Program site at https://internal.usgs.gov/oei/oiim/oiim-home/information-management/records-management/ with any questions you have on the schedules or their implementation.

Details

The two schedules approved by NARA are

• N1-057-08-5, GIO Mission-Specific Records Disposition Schedule, and

• N1-057-05-2, Geography Discipline Mission-Specific Records Disposition Schedule.

These schedules replace USGS record schedule N1-57-93-5, the National Mapping Division schedule, which was approved in May 1999, and they cover USGS scientific records and Bureau geospatial records wherever they are now located within the new USGS organizational structure.
