Subject: NWQL -- Late Sample Procedures
PLEASE CIRCULATE THIS INFORMATION TO ALL PROJECT PERSONNEL INVOLVED
IN WATER QUALITY PROJECTS
In addition to the NWQL Close-out Announcement for FY00, cited below
from the Chief, NWQL, procedures for any late sample requests that
your cost center may have are outlined below. Please read carefully.
All late sample requirements within your district/cost center must be
coordinated through one designated individual. That person can be your
district water quality specialist, your administrative officer, or another
person of your choosing. All projects need to communicate their needs
through that person who will in-turn correspond via email with me. Last
year the majority did very well in this coordination effort, but there
were still occurrences of conflicting information. It can be confusing,
and jeopardize the quality of information needed in assisting you.
Please use the following format:
Cost Center: 4608 (Colorado)
Project Account Number: 4608-12345
Inhouse Chemistry: $2,000.00
DODEC: $9,000.00
Project Account Number: 4608-23456
Inhouse Chemistry: $5,000.00
Invertebrates: $1,350.00
Detailed sample information is not required. The late sample tracking
system will credit the prepaid dollar
amounts in each account. It will not actually match samples.
Additional reminders:
1. All samples are billed at the price current at login (all samples
logged in after October 1, 2000 will be billed at the FY2001 price)
2. Please round your prepay to the nearest dollar
3. All late samples must arrive at the NWQL referencing the same account
number (all nine digits) from which prepayment was made--THIS IS MOST IMPORTANT
4. All late samples must arrive at the NWQL by 12/31/00
5.The prepayment for late samples should not exceed 10% of each project's
current (FY00) analytical estimate
6. We do not accept prepayment for supplies purchased through DENSUPPLY,
only for analytical services
7. The prepay must be identified by the three categories your late
samples fall: in-house chemistry; DODEC or NAWQA biology (invertebrates).
Please work within your district to get firm numbers prior to contacting
me. I will begin to work with you on collecting these moneys the week of
08/21/00. All transactions must be completed by 09/15/00. These funds
translate into funding for my cost center. We must meet the Division's
guidelines on funding transfers.

To All WRD Employees,
The National Water Quality Laboratory (NWQL) wants to remind its customers
that the fiscal year close-out date for receipt of samples is the third
Friday of September. This year, due to the way the days fall, we are
able to give you an additional week. For FY00, the close-out date is
September 15, 2000. Final NWQL billings should be available no later
than Monday, September 25, 2000. When the LABBUDG monthly budget
information is available, it will be posted in an email to the WRD AOs.
Any samples or requests for field supplies received by the NWQL through
close of business September 15, 2000, will be charged to FY00. Anything
received after that date will be charged to FY01 unless special arrangements
have been made through the NWQL Adminsitrative Unit. Please contact
Merilee Bennett (mbennett) to make such arrangements. Thank you
