Property Reminders Date: Mon, 30 Nov 1998 13:16:33 -0500 To: "AO - All Administrative Officers" From: "Alice A. Sabatini, Division Administrative Officer, WRD" Subject: Property Reminders Cc: "Elizabeth A Brenner, Management Assistant, Reston, VA" Melissa Courtney asked me a few months ago to pass along some reminders to you. The notes I took in that regard have just made it to the top of my "to do" list, but these items were included in the August 11, 1998 minutes from the AMC meeting (distributed to all AOs on September 14, 1998). Please make certain that you send copies of all equipment orders (including bankcard purchases) exceeding $1000 to Property for review. They have come upon orders for an upgrade to capitalized equipment only to find out that the equipment being upgraded was never added to the inventory. We've been given permission to report vehicle utilization data annually instead of quarterly. I'm concerned, however, that cost centers that only report once per year will forget and not gather the data. Please indicate your agreement with this statement in an email to Toni Brenner (ebrenner). Unless we hear otherwise from you, we will recommend a minimum of quarterly updates. The VROOM system on the web will be used to gather this data in FY 1999 in lieu of using the old MOVES system. Vehicle orders should never be sent from a cost center directly to GSA. They must be sent to Property first. Duplicate vehicles were received by two offices because of requests going directly to GSA or OFM. The Property Management Branch will no longer be involved with the vehicle decals. Orders for additional, replacement decals should be submitted to the Materials Management Branch.
