I am sending the following to you with the request that you pass it along
to all RDE users -- we are not receiving documents on a regular basis, and
some offices appear unaware of the sampling program, hence this
reminder. Thanks for your help in getting the word out -- and if in future
you can point me to an existing mail groups, or we can create one, I will
try not to burden you further.
- ----------------------------------

To All RDE Sites,

I am writing this to remind you of the new requirements for providing
supporting documentation for certain RDE entries to the Office of
Financial Management. These were first announced in Instructional
Memorandum 97-02, which you should have received in November, and
which you can find on the USGS Intranet under the Ref Doc button
(http://www.usgs.gov:8888/usgs-manual/95imlist.html). We are asking
for this documentation as part of the post-entry audit process under our
statistical sampling plan for all payments and purchase orders.

Please note that all Remote Data Entry Payments, Bankcard Statements,
and Purchase Orders equal to or greater than $5,000 must be faxed to
OFM immediately after entering the documents into FFS. Please fax all
source documents and supporting documentation to the Attention of Jo
Ann Egan at 703-648-4112. Mark the documents ‘Statistical Sampling'.

Please do not fax payments, purchase orders, or bankcard statements less
than $5,000 unless you are contacted by OFM. All documents are
subject to random selection for post-entry audit review by our statistical
sampling program; if any of your entries under $5,000 is selected, we will
contact you.

Please refer to Instructional Memorandum OFM-97-02, Post-Entry Audit
and Statistical Sampling Plan, for additional information. If you have
further questions, please contact Mary Christensen at 703-648-7608, or
email to mchriste@usgs.gov.
