MOVES Instructions X-Mailer: exmh version 1.5.2 12/21/94 To: "AO - All Administrative Officers" cc: "Connie F Magaha, Chief, Mgmt Support Section, Reston, VA" , "Elizabeth A Brenner, Assistant Chief, General Srvcs, Reston, VA" , "Thomas V Randall, Office Automation Assistant, Denver, CO" , "Patricia A Powers, Accounting Technician, Reston, VA" , "Pauline P Scott, , Reston, VA" Subject: MOVES Instructions Mime-Version: 1.0 Content-Type: text/plain; charset="us-ascii" Date: Thu, 29 Feb 1996 15:17:53 -0500 From: "Connie F Magaha, Chief, Mgmt Support Section, Reston, VA" Please distribute these instructions to the staff members who are responsible for entering the motor vehicle usage data. * * * * RESPONSE DUE DATE OF MARCH 25, 1996 * * * * The MOVES system is a data collection system only for reporting the mileage, gas, and maintenance cost of motor vehicles. November's data is currently on the mainframe. The following is the schedule for December through February. The Branch of Property Management is on a compressed schedule to update this data. They are behind schedule due to the furlough and various system problems. These are TARGET dates only. Availability of these months for input (correction/modification) will depend upon fixes being inplace by these dates. You can verify "current month" on-line by checking the MOVES Main Menu. (The current month on-line is indicated after menu item #1 and #2.) March 1, 1996 - December data will be available for review and correction March 15, 1996 - January data will be available for review and correction March 25, 1996 - February data may be entered The Branch of Property Management has all the data you submitted to Headquarters into the AFIMS system through January and will upload this on the mainframe. THE FIRST DATA YOU WILL BE REQUIRED TO ENTER INTO THE MOVES SYSTEM WILL BE FEBRUARY'S DATA AFTER MARCH 25, 1996. Beginning with March's data the due date to enter the vehicle data will be the 20th of the following month. (i.e., March data should be entered on or before the 20th of April). To add or modify data, select Item #2 on the menu screen. We have requested the Office of Information Services to change the title of this selection to read, "Add or Correct Data for Month". Item #1 "Review Data" is only to review current month data (put in during your current month session) and cannot be used to review prior months data. After making a selection of Item #1 or #2 from the MOVES main menu, you may tab to "Select Records by Survey-ID" if you wish to specify a particular vehicle using the 6-digit vehicle number, then tab to "month" and enter the number for the month. Otherwise make your menu selection, tab to and enter the month and the system will take you to the first vehicle in your organization (with the lowest tag number/ascending order). If you have failed to enter data for a specific vehicle and want to update the records for the whole year up to the current month, you may do so as long as you put the data in order by month. Simply enter the month you wish to access in the month field. Do not enter your delinquent data out of sequence since entering data for months out of sequence will result in calculation problems to the ending odometer (For example, if you have entered January do not go back and enter December or any prior month). You may make changes to any previous month for the current fiscal year. You may also correct an odometer error for a prior month and your new entry will update the vehicle records in FFS. Please keep in mind that these changes may cause calculation problems in what you see on the mainframe. However, the updated property records will be correct. You may make changes to your data even on different sessions within the current month without causing calculation problems to the ending odometer reading. When going back to a previous record, the system takes you all the way back to the "MVS NEWS Screen". I have discussed this with Pauline Scott and she has reported it to the Office of System Management. NOTE: The Branch of Property Management has requested us not to use the menu items on MOVES to run reports until further notice, in order for them to test the validity of the reports.
