Annual Property Inventory In Reply Refer To: Mail Stop 442 April 22, 1996 MEMORANDUM REPLY REQUESTED BY JUNE 15, 1996 REPLY REQUESTED BY JUNE 30, 1996 To Accountable Property Officers From: Alice A. Sabatini Administrative Officer, Water Resources Division Subject: Annual Property Inventory Consistent with departmental and bureau policy, all Custodial Property Officers (CPOs) must conduct an annual inventory of accountable property. Accountable property consists of items with an acquisition cost of $5,000 or more, firearms, leased equipment, on-road vehicles with license plates, and other agencies property. A listing of accountable property from the Property Management Information System (PMIS) can be obtained from the AMDAHL Model 204B. Corrected listings should not be forwarded to the Property Management Branch, but any documentation required to resolve discrepancies between the actual property and the record should be forwarded. Instructions for completing the inventories are contained in the Property Management Handbook, Chapter 3, Section 3.A.(a)-(7), page 3-14. If CPOs have documentation which substantiates a different acquisition cost other than that shown on the listing, please send a copy of the acquisition document to the Branch of Property Management, Mail Stop 210, to correct the record. In order to satisfy the requirements of the Chief Financial Officers Act, record adjustments to the property account must be completed prior to the end of the fiscal year. Therefore, we request that any documentation required to correct the property records be submitted by June 15, 1996. In addition, each APO must certify in writing, that all CPO's under your management have completed their inventories. This certification must be received by the Property Management Officer no later than June 30, 1996. We appreciate your help with this important task. If you or your staff have questions or need assistance, please call the Branch of Property Management at (703) 648-7324. Copy to: District Chiefs Branch Chiefs Administrative Officers
