Sabatini Administrative Officer, Water Resources Division Subject: Implementation of the Property Management System This revises the memorandum dated November 9, 1995, subject, Implementation of the Property Management Interface System (PMIS). We have added additional information and clarified instructions on how to access the PMIS system. Beginning January 1, 1996, the Water Resources Division (WRD) will implement the PMIS as the single automated system to track accountable and non-accountable property. This system is already being used by the other U.S. Geological Survey divisions and has recently been enhanced to add additional functionality to support user updates of non-accountable property records. Effective January 1, 1996, the Administrative Financial Management System (AFiMS) will no longer be supported software for tracking property. Offices may elect NOT to track any non-accountable property, but must ensure that measures to assure appropriate safeguards and management of assets are in place. If an office elects to track any non-accountable property, it MUST be tracked in PMIS. During the months of November and December, users can acquaint themselves with this system. In order to remove the disincentive to using PMIS, Information Systems Division (ISD) has agreed to defer usage charges for fiscal year 1996. We have established separate userids for the M204B software that are nonbillable. The userids have been established for each cost center and sent to users through geomail. Each userid has a profile associated with it that limits the Custodial Property Officer codes for which property items may be modified or added by the user. A temporary password, associated with the new userids, will have to be changed when using the system for the first time. To access the PMIS on the M204B, enter the following: In a UNIX window: - Type sna - Press ENTER key - On the second screen that displays "USGS AMDAHL 5890 Cross Domain Screen", type M204B - Press ENTER key on the number pad - Type logon AWDXXXX property (AWDXXXX represents your userid) - Press ENTER key on the number pad The initial access to system: - Type password temporary password:newpassword (for the temporary password, use the password received from Jeanne Roen), the new password must be 6 to 8 characters in length. For example, if your temporary password is orange and you want your new password to be apples, you would type orange:apples After the initial access to system: - Type password - Press ENTER key on the number pad If you need assistance with changing your password, please contact the ISD HELP DESK, on (703) 648-7300. The Office of Program Support is responsible for assisting users with access, userid and password problems. To establish additional profiles for PMIS, please contact Bonita Parker-Kotulak on (703) 648-7254 or geomail bparker. The PMIS User Guide has been placed on MOSAIC for reference. A hard copy of the PMIS User Guide will not be distributed. The following instructions should be used to access the PMIS User Guide on MOSAIC. To access the PMIS Manual: - Framemaker must be invoked prior to issuing the following commands. In MOSIAC: - Click on file then click on open URL - In the NCSA MOSAIC: Open Document Box - Type http://wwwoper.er.usgs.gov/ffs/index.html - Click on open within this box - Click on the word PMIS on the screen just opened. We believe that the user guide is easy to use and that additional training will probably not be required. Use the guide to walk through the system a few times. If you need assistance please contact the Property Management Branch on (703) 648-7322 or the Office of Systems Management on (703) 648-6759.
